Bid Coordinator
Job Summary
Responsible for full-cycle administration of the estimating process for a premiere, custom architectural millwork firm. Individual will be expected to analyze architectural drawings and blueprints, select and prioritize proposal requests based on project composition, market targets, estimating capacity, and fabrication / installation schedule availability. Position requires interfacing and cultivating relationships with key personnel across a broad spectrum of the company’s internal and external stakeholders, to include company executives, architects, owners, and general contractors.
Key Duties:
- Prepare and submit accurate and timely bid proposals in response to customer requests for proposals and other bid opportunities.
- Review bid requirements, specifications, and drawings to ensure that all necessary information is included in the bid package.
- Coordinate and communicate with various departments within the company to obtain necessary information and pricing for bids, including sales, design, engineering, production, and installation teams.
- Maintain accurate and up-to-date bid logs, tracking systems, and documentation for all bid opportunities.
- Follow up with customers after submitting bids to address any questions or concerns and provide additional information as needed.
- Maintain a thorough understanding of the company’s products, services, and capabilities, as well as industry trends and best practices.
Requirements:
We are looking for a reliable, detail-oriented team player with the ability to manage tasks, produce quality work and consistently meet deadlines. The successful candidate will possess:
- Strong organizational skills with the ability to manage multiple bids simultaneously.
- Excellent attention to detail and the ability to review and analyze technical drawings and specifications.
- Strong communication skills, both written and verbal, with the ability to interact effectively with customers, vendors, and internal teams.
- Proficiency in Microsoft Office Suite and bid management software.
- High school or equivalent (Required). Bachelor’s degree in architecture, engineering, business or a related field (Preferred)
- 2-3 years of experience in bid coordination or related field, preferably within the architectural millwork industry (Preferred).
